Millstreet Day Centre is looking for an experienced office administrator/manager for a 7 month fixed term contract on a part time basis (12 hours per week – Mon/Wed/Thurs) to cover maternity leave.

The Day Centre welcomes senior citizens & retired people from the Millstreet & catchment area where they can gather to talk, join in activities, meet new people or renew old friendships. A wide range of nursing & other services are provided.

The Centre is currently closed due to the Covid-19 pandemic but is operating a Meals on Wheels service from the Centre & also has 10 Residents living next to the Day Centre in independent accommodation. Please see job description attached.

We are looking for an experienced office administrator/manager for a 7 month fixed term contract on a part time basis (12 hours per week – Mon/Wed/Thurs) to cover maternity leave. The role is as follows: 

Office Administration

  • Carrying out office duties such as answering phone calls, responding to emails etc.
  • Performing bookkeeping tasks such as invoicing, monitoring accounts receivable, budget tracking & payment of bills
  • Complete monthly bank reconciliations
  • Maintaining general office files, including supplier, employee, invoices and other files related to the Centre’s operations
  • Purchasing office supplies, equipment & overseeing the maintenance of office facilities

Day Centre & Housing

  • Document any issues that arise from tenants or clients
  • Ensure houses are kept in a reasonable manner & carry out regular house inspections
  • Monitor general wellbeing of tenants & keep in contact with relations & home helps
  • Arrange maintenance of grounds around the Centre to a high standard – car park, footpaths, shrubs, lawns, hedges, garden furniture & sheds

Meals on Wheels

  • Monitor & arrange weekly Meals on Wheels orders
  • Organise monies & billing for clients
  • Prepare order lists & labels for kitchen & drivers
    Kitchen
  • Ensure cleaning schedule is in place & acted on
  • Ensure high standards of cleanliness & hygiene are maintained
  • Monitor standard of meals – varied menu, nutritious & suitable for the elderly – keeping costs within a moderate level
  • Read & file reports from Health & Hygiene Office & ensure concerns are acted upon immediately
  • Ensure gas inspection, air conditioning & other equipment are serviced regularly

Staff

  • Delegate work & duties. Liaise with staff – cook, DSP Employees & DSP Supervisor to maintain smooth operating of the Centre
  • Process payroll & maintain accurate records for employee holiday requests
  • Monitor work practices & ensure they are to the highest standard
  • Ensure all drivers are familiar with our transport policy

Misc:

  • Liaise with Board of Directors & prepare regular reports as requested
  • Responsible for security – fire register, fire alarms, security alarms, security cameras – test alarms & ensure they are serviced regularly
  • Ensure proper maintenance of transport vehicles
  • Liaise with HSE contact re: services for our clients & residents
  • Ensure highest level of confidentiality at all times

Requirements:

  • Qualification in business, administration, or a related field.
  • 4/5+ years’ office administration experience
  • Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook etc.)
  • Comfortable handling confidential information
  • Multi-tasking and time-management skills, with the ability to prioritize tasks
  • Exceptional communication and customer service skills
  • Excellent organisational & record keeping skills
